Privacy Policy

Last updated: 4 June 2026

1. Introduction

MileWise (“we”, “us”, or “our") is committed to protecting your personal data. This Privacy Policy explains how we collect, use, store, and safeguard your information when you use our business travel reimbursement and compliance platform.

2. Information We Collect

We collect and process the following types of information:

  • Account data: email address, name, and authentication credentials provided during sign-up or via Google OAuth.
  • Trip data: origin and destination addresses, distances, dates, purposes, and mileage rates you enter.
  • Location data: saved home, office, and client site addresses that you voluntarily store.
  • Calendar data: if you connect Google Calendar, we access event titles, dates, and descriptions solely to suggest trips. We do not store the full contents of your calendar.
  • Usage data: anonymised analytics on feature usage to improve the service.

3. How We Use Your Information

We use your data to:

  • Provide core mileage tracking and claim generation functionality.
  • Calculate distances using third-party mapping services.
  • Generate PDF or spreadsheet reports for your expense claims.
  • Communicate service updates or security alerts.
  • Maintain and improve application performance and security.

4. Data Storage and Security

Your data is stored in secure cloud databases with encryption at rest and in transit. Access is restricted to authenticated users via role-based permissions. We implement industry-standard measures including TLS encryption, secure authentication tokens, and regular security reviews.

5. Third-Party Services

We integrate with the following third-party services:

  • Google Maps / Places API — for address autocomplete and distance calculations.
  • Google Calendar API — only when you explicitly connect your calendar; you can revoke access at any time.
  • Cloud infrastructure providers — for hosting and database services.

We do not sell, rent, or trade your personal data to third parties for marketing purposes.

6. Cookies and Tracking

We use essential cookies to maintain your session and authentication state. We do not use tracking cookies for advertising or profiling.

7. Your Rights

Depending on your jurisdiction, you have the right to:

  • Access, update, or delete your personal data.
  • Export your trip and claim data.
  • Withdraw consent for calendar integration.
  • Request deletion of your account and associated data.

To exercise these rights, contact us at the email address below.

8. Data Retention

We retain your data for as long as your account is active. If you delete your account, we will remove your personal data within 30 days, except where retention is required by law.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes via email or an in-app notice. Continued use of the service after changes constitutes acceptance of the revised policy.
